Team & roles

Inktivo is built for teams. Invite your colleagues, assign the right roles, and control who can do what within your organization.

Roles

Every member of an organization has one of three roles: OWNER, ADMIN, or MEMBER.

Owner

The Owner role is for the primary account holder or senior decision-maker. Owners have full access including billing management and the ability to assign or revoke the Owner role itself. An organization must always have at least one Owner.

Admin

Admins can manage day-to-day operations: inviting members, removing members, changing roles (except Owner), and managing API keys. They cannot access billing or change subscription plans.

Member

Members can create and send envelopes, work with templates, and view the organization’s envelope history. They cannot manage team membership or API keys.

Inviting members

Only OWNER and ADMIN can invite members.

  1. Go to Account settings → Team.
  2. Click Invite member, enter the person’s email address, and choose their role.
  3. Click Send invite. Inktivo sends the person an invitation email. If they don’t have an Inktivo account yet, one is created for them automatically when they accept.

The invitation is accepted on first login. The new member is immediately added to your organization with the assigned role.

Seat limits

The number of members you can have in your organization depends on your plan:

PlanMax members
Free1 (just you)
ProUp to 5
BusinessUnlimited

If you try to invite someone when you’ve reached your seat limit, Inktivo will prompt you to upgrade your plan.

Changing roles

  1. Go to Account settings → Team.
  2. Find the member in the list.
  3. Use the role selector to change their role.

Only Owners can promote someone to Owner or demote an existing Owner. You cannot demote the last Owner of an organization.

Removing members

  1. Go to Account settings → Team.
  2. Find the member and click Remove.
  3. Confirm the removal.

Removed members immediately lose access to the organization and all its data. Envelopes they created remain in the organization.

You cannot remove yourself from the organization, and you cannot remove the last Owner.
